Getting a South African police clearance while living overseas

Why this comes up

South Africans abroad are asked for a South African police clearance more often than they expect — applying for permanent residency, converting a work visa, registering with a professional body, or naturalising. The requirement is usually to produce a clearance from every country you lived in for six or twelve months as an adult, and South Africa is on that list whether you left last year or twenty years ago.

The certificate can only be issued by the SAPS Criminal Record Centre in Pretoria. That is the part people get stuck on, and it is the part we do.

The process from outside South Africa

1. Tell us where you are and where the certificate is going Those are two different countries and both matter. Where you are determines how you get fingerprinted; where the certificate is going determines whether it needs an apostille, embassy attestation, or nothing at all. We quote the whole thing up front.
2. Get fingerprinted locally A local police station, a private fingerprinting bureau, or a South African embassy or consulate. What matters is that the prints are taken on the SAPS fingerprint form and that they are properly rolled. We send you the form and a short note you can hand to the officer, because the SAPS form is not the one they usually see.
3. Courier the paperwork to us The completed fingerprint form and a certified copy of your passport or South African ID. Certified copies only — do not post originals.
4. We submit, collect and legalise We lodge it with the Criminal Record Centre, pay the SAPS fee, follow it up, and collect the certificate. If your destination needs an apostille we add it in the same run rather than shipping the document twice.
5. We courier it to you Anywhere in the world. R800 to Africa, R950 to Europe and the Middle East, R1,050 to the USA, Canada and Mexico, R1,300 to Asia, Australia and everywhere else.

Timing, honestly

Two to four weeks at SAPS, plus however long your paperwork takes to reach us and the finished certificate takes to reach you. Budget on that basis and start early — but not too early, because most authorities require the certificate to be under six months old when you submit it. Three to four months ahead of a deadline is usually the sweet spot.

A note on countries that need more than an apostille

If your destination is not in the Hague Convention — the UAE, Qatar, Saudi Arabia, China, Vietnam and others — an apostille is not enough. The certificate goes through a longer chain ending at that country's embassy. It takes longer and costs more, and it is much better to know that at the start than after your clearance has already been issued. Tell us the destination and we will confirm which route applies.
