Easy Police Clearance

Terms of service

The basis on which we take on your matter.

1. What we are

Easy Police Clearance is a service of Easy Services Group, a private document service. We are not the South African Police Service, the Department of Home Affairs, the Department of International Relations and Cooperation, or any other government body, and we are not affiliated with or endorsed by them. You are entitled to apply to SAPS directly yourself.

2. What we do

We prepare, submit, follow up and collect applications for South African police clearance certificates, and where you ask, arrange apostille or embassy attestation and courier delivery. We may also assist with criminal record expungement applications, which are conducted through the relevant legal process.

3. What we do not do

We do not issue police clearance certificates — only the SAPS Criminal Record Centre does. We cannot influence what a criminal record check returns, and we cannot alter, expedite or override SAPS processing times. Any timeline we give is an estimate based on experience, not a guarantee, and we do not accept liability for delays at SAPS, DIRCO, an embassy or a courier.

4. Your obligations

You must give us accurate and complete information, including all previous names. You are responsible for having fingerprints taken correctly and for the authenticity of documents you supply. Where information you provide is incomplete or incorrect and an application is rejected as a result, the re-application terms in clause 6 apply.

5. Fees and payment

Our fee for a police clearance application is R2,450 per applicant. Government fees, including the SAPS fingerprint fee of R190, are passed on at cost. Courier is charged separately at the rate applicable to the destination. Apostille is R1,650. No VAT is added; Easy Services Group is not a VAT vendor. Volume discounts of 10%, 20% and 30% apply at 5–10, 11–25 and 26 or more applicants respectively, to our fee only. Work begins once payment is received unless agreed otherwise in writing.

6. Rejected applications

If SAPS rejects your application and you provide corrected documentation within 30 calendar days of the rejection, we will re-submit for 50% of our admin fee. Government fees and courier charges are payable again in full, as we pay these to third parties and cannot recover them. This applies to the application in question and does not extend to repeated rejections arising from the same uncorrected cause.

7. Refunds

Our fee is refundable in full if we have not yet begun work. Once an application has been lodged with SAPS, our fee is not refundable, as the work and the government disbursement have been incurred. Government fees are never refundable once paid. An unfavourable result on your certificate is not grounds for a refund — the certificate reflects your record, and reporting it accurately is the service working as intended.

8. Documents in our care

We take reasonable care of documents entrusted to us. Do not send original identity documents; certified copies are what the application requires. Our liability for loss or damage to documents in transit is limited to the courier's declared liability.

9. Limitation of liability

To the extent permitted by law, our total liability arising from any matter is limited to the fees you paid us for that matter. We are not liable for indirect or consequential loss, including missed visa appointments, travel costs, lost employment or immigration outcomes.

10. Privacy

We handle your personal information in accordance with our privacy policy and the Protection of Personal Information Act.

11. Governing law

These terms are governed by the laws of the Republic of South Africa.
